Who This Comparison Is For

This is written for owners of small trade and local service businesses who are trying to work out which software to pay for. It is not written for agencies, and the recommendations would be different if it were.

The assumption is that you are doing the work yourself or running a small crew, you answer your own phone most of the time, and you have somewhere between zero and four subscriptions already. On that basis, here is where each option is the right answer and where it is not.

The Stack Most Trades End Up With

Before comparing platforms, add up what you already pay. The usual collection is a website builder, an email tool, a booking tool, a texting app, a review tool and something to take payments.

Each one is $15 to $80 a month and none of them talk to each other, so a booking does not update the CRM, a lead from the website does not get a text, and nobody knows which quote has been followed up. The monthly total is usually between $150 and $300, and the real cost is the half hour a day spent moving information between them.

The case for an all-in-one platform is mostly this: one bill, and the parts already know about each other.

For a trade business the gap is the phone. Your leads call and text, and HubSpot was designed around email and forms, so you add a texting tool on top and the price climbs quickly once you move past the free tier.

Jobber and Housecall Pro

Field service platforms for quoting, scheduling, dispatch, invoicing and payment. If your bottleneck is organising crews and getting invoices out, buy one of these.

Both charge per user, so the cost rises with office staff and technicians. Neither is built to chase an unanswered quote or reply to a missed call, which is why some of our customers keep theirs and run Phanz in front of it.

Keap

Automation and email marketing with a CRM attached, aimed at small businesses that sell rather than schedule. Powerful once configured, and there is normally an onboarding fee and a learning curve to get there.

It suits a business with a longer sales process and someone willing to spend time on it. It suits a plumber with a truck less well.

Wix, Squarespace and the DIY stack

Cheap to start and fine for a page that describes your business. The limitation is that the site is a leaflet: when someone fills the form at ten at night, nothing happens until you look.

Once you bolt on the texting, booking and email tools needed to fix that, you have spent more than an all-in-one plan and you now maintain the connections between them.

Phanz Compared With Hiring an Agency

A local agency will build you a site for $3,000 to $8,000 and often ask for a retainer to maintain it. The work is usually decent and the relationship is real, which counts for something.

The two things to check before you sign are who owns the account and what happens when you stop paying. In a lot of arrangements the site, the domain settings and the automations live in the agency's systems, so leaving means starting again.

  • You need dispatch, routing or crew timesheets. Phanz has none of that.
  • You need job costing, takeoffs or material ordering. Buy construction or field service software.
  • You need deep accounting integration. There is no direct QuickBooks sync.
  • You have an office sales team working leads by email all day. HubSpot fits that better.
  • You are already booked out for a year and turning work away. Fix capacity first.
  • You want a designer-led custom website with a bespoke brand. Hire a designer.

What Each Option Costs

Phanz DIY is $98/mo with no setup fee and no contract, and that includes the website, CRM, calendars, missed call text back, email and SMS automation, reviews and payments. Done-For-You is $547/mo, or $4,997 a year at about $416/mo, with the build included.

The separate-tool stack is usually $150 to $300 a month once everything is counted. Field service platforms price per user, so get a quote for the number of seats you will have in a year rather than the one you have today. Agency builds are a large one-off plus a retainer.

How to Decide Without Guessing

Pick the one thing that is costing you the most money right now and buy for that. If quotes go quiet, buy follow-up. If your week is chaos, buy scheduling. If nobody can find you, buy a website and a local search setup.

Then test before you commit. Call our demo line, watch what a caller experiences, and read the cancellation terms on anything you are considering. A platform with no contract and an export button is a much smaller decision than one with a year up front.

Comparing Platforms: Common Questions

What is the cheapest all-in-one business platform?

Cheapest and best value are different questions. There are platforms under $50 a month, and they generally cap contacts, charge extra for texting or leave out the website. Phanz is $98 a month for the DIY plan with the website, CRM, calendars, texting, email, reviews and payments all included, which for most trades is less than the stack of separate tools it replaces.

Is there a free alternative?

HubSpot, Zoho and Bitrix24 have free CRM tiers, and Wix and Google Sites will host a basic website for nothing. Stitching those together gives you a contact list and a page. It does not give you a text going out when you miss a call, and that is the part that recovers jobs.

How does Phanz compare with HubSpot?

HubSpot is a sales CRM built for sales teams, strong on email, reporting and deal pipelines, with a free tier and a steep jump to the paid tiers. Should I use Jobber or Housecall Pro instead?

Use them if your main problem is scheduling crews, dispatching and invoicing. They are field service platforms and they do that well. They are weaker at chasing a lead who asked for a price and disappeared. Plenty of people run one of those for the job and Phanz for everything before the job.

Can I switch later if it does not suit me?

Yes. Both plans cancel anytime, there is no contract, and you can export your contacts. If you step down from Done-For-You to DIY, your website, pages and automations stay live and you run them yourself.
